Managing locations
Locations represent your organisation's structure in RedSeed - regions, stores, departments, or whatever hierarchy fits your business. They control which courses and resources your people can see, who their coach is, and how your reports roll up.
Before you start
To manage locations you need:
- An Admin account
- The Location Management feature enabled on your account (contact RedSeed support if you're unsure)
Creating a location
- Go to Locations on your "Dashboard".
- Click Add Location
- Fill in the details:
- Name — what the location is called (required, max 70 characters)
- Code — an optional short reference code, useful for bulk imports and integrations
- Type — choose Region, Store, or Department
- Parent — where this location sits in your hierarchy
Click Save
Once created, you can assign courses, resources, pathways, and a coach to the location.

Editing a location
- Find the location by clicking on Dashboard and navigating to the Location widget
- Click the location name to open it
- You can update:
- Name, code, and type
- Parent location — this moves it within your hierarchy (see note below)
- Courses, resources, and pathways — what learning content is available to people in this location
- Coach — the coach assigned to people here
Click Save
Moving a location: If you change the parent, the location and everything below it will move to the new position in your hierarchy. This updates instantly.

Reassigning coaching when a coach changes
If you change the coach on a location, you'll be given the option to reassign coaching records:
- Reassign for this location — updates coaching for people directly in this location.
- Reassign for this location and all below — also updates everyone in child locations (for example: if you update a region, it can also filter down to each store within).
Archiving a location
Archiving removes a location from active use without deleting it.
- Open the location
- Click Archive
A location can only be archived if:
- It has no active child locations beneath it
- It has no active users assigned to it
Move or reassign users and child locations first if you need to archive.

Tips
- Courses and resources assigned to a location are available to everyone in that location and all locations below it.
- If a location has no coach assigned, RedSeed will look up the hierarchy and use the nearest parent location's coach.
