Meeting Templates

Meeting templates let you build a set of ready-made 1:1 agendas that your coaches can drop straight into a meeting, so every coaching conversation starts from a consistent, on-brand structure instead of a blank page.

What is a meeting template?

meeting template is a saved agenda: a title, a category, and a list of discussion topics. When a coach creates or updates a meeting, they can apply a template and its topics are copied straight onto that meeting's agenda, ready to talk through, edit, or add to.

There are two kinds of template:

  • Your organisation's templates, created and managed by your team in Manage ▸ Meeting templates. Fully editable.
  • RedSeed templates, a set of global, ready-made templates RedSeed provides. These are read-only, but you can duplicate one to create your own editable copy.

Who can manage templates

Managing templates is an admin task. To see Manage ▸ Meeting templates, you need:

  • An HR user account, and
  • The "manage meeting templates" permission, and
  • Meetings turned on for your organisation.

Any coach with access to Meetings can use a template when scheduling or running a 1:1; they don't need any special permission for that part.

Managing your organisation's templates

Go to Manage ▸ Meeting templates.

Create a category

Templates are organised into categories (for example, "Check-ins", "Onboarding", "Performance").

  1. Click Add category (in the templates sidebar).
  2. Enter a category name.
  3. Click Add category to save.

You can rename a category at any time by clicking on its name in the sidebar, or delete it with the delete action. Deleting a category also deletes every template inside it, so you'll be asked to confirm first.

Create a template

  1. Click New template.
  2. Give it a title and choose a category.
  3. Add one or more agenda topics: these are the discussion points a coach will see when they apply the template.
  4. Click Save.

Edit a template

Select any of your organisation's templates from the sidebar to open it in the editor, make your changes, and save.

Important: editing a template only affects meetings created from it after the change. Meetings that already used the template keep the agenda they were given at the time. Updating the template won't retroactively change a meeting that's already underway or completed.

Delete a template

Open the template and choose Delete. You'll be asked to confirm, since this can't be undone.

Use a RedSeed template as a starting point

RedSeed's built-in templates are shown read-only, with a Duplicate to edit option. This copies the template's title and topics into a new, fully editable template of your own that you can then customise and save under one of your categories.

Using a template in a meeting

When a coach opens a 1:1 meeting, a Use a template picker lets them choose:

  • Start with blank: clears the agenda back to empty.
  • Any of your organisation's custom templates, grouped by category.
  • Any of RedSeed's global templates, grouped by category.

Picking a template immediately copies its topics onto that meeting's agenda. There's no separate "add" step, and the coach can still edit, add, or remove topics from there. Picking a different template later replaces the current agenda with the new one.

Frequently asked questions

Does changing a template change meetings that already used it?

No. Templates only affect the agenda at the moment a coach applies them. Past and in-progress meetings keep the topics they were given when the template was applied.

Can coaches create their own templates?

No, creating and editing templates is an admin task (System/HR users with the "manage meeting templates" permission). Coaches can use any template you've made available, but can't create new ones from the meeting page.

What happens to a template's meetings if I delete the template?

Deleting a template doesn't touch meetings that already used it; only the reusable template itself is removed, so it won't appear in the picker for future meetings.

Can I turn a RedSeed template into one I can edit?

Yes, select it and choose Duplicate to edit. This creates an editable copy under one of your own categories; the original RedSeed template is untouched.
